Duties and Responsibilities
- Diary management
- Perform general administrative duties
- Create, transcribe, and distribute meeting agendas and compile minutes.
- Prepare post meeting correspondence and reports
- Answer phone calls and direct calls to appropriate parties or take messages.
- Establish and maintain a comprehensive filing system
- Research, price, and purchase office supplies.
- Manage supplies and stock to ensure adequate levels are kept
- Obtains quotes and issues order notes after Managers approval
- Receives invoices and statements and submits for approval and submit to SSC Finance for payment
- Checks progress of payments and liaises with service providers on information/documentation required
- Handle own correspondence
- Oversee booking of boardrooms and arrange refreshments
- Coordinate project-based work
Qualifications
- An appropriate Grade12 Certificate and /or equivalent academic qualification
- Tertiary qualification in office administration pre- requisite
- At least 4 years secretarial experience required
- Must be able to communicate in English . Any other languages will be advantageous.
- Must be able to handle own correspondence
- In possession of a current valid driver’s license
- Advanced Computer literacy (Word, Excel and PowerPoint)
